Rosella is designed for teams that coordinate studies with people. This policy explains the principles we use for privacy, participant communication, data ownership, integrations, and responsible research operations.

Privacy and participant data

Rosella stores participant and study operations data so research teams can recruit, screen, schedule, communicate with, and follow up with participants. That can include participant profile details, eligibility state, screening answers, consent status, bookings, messages, event progress, notes, compensation records, and integration metadata.

Rosella should not be used to collect information that is unnecessary for the study or not permitted by the team's protocol, consent materials, institutional policy, or applicable law.

Information we collect and how it is used

Teams may add staff, participant, project, workflow, scheduling, messaging, form, compensation, and integration information to Rosella while operating a study. We use that information to provide the product, maintain the service, support requested workflows, improve reliability, and respond to support or security needs.

Rosella may also collect limited technical information such as browser, device, usage, and diagnostic data so we can operate and improve the service.

Research team responsibilities

Each workspace is responsible for configuring projects accurately, publishing participant-facing information carefully, inviting appropriate staff, reviewing access regularly, and using integrations only when those tools are approved for the research context.

Teams should ensure that participant-facing pages, screening questions, consent items, reminders, compensation rules, and communications match the approved study process.

Integrations and subprocessors

When a team connects external tools such as survey platforms, video meeting providers, automation tools, recruitment services, or payout systems, data may be sent to those providers to perform the requested workflow.

Teams should review provider access, scopes, and institutional approval before connecting them.

Sharing, retention, and security

Rosella does not sell participant information. We may share information with service providers where needed to operate Rosella, support requested integrations, maintain infrastructure, respond to support requests, or comply with legal obligations.

Research teams should keep operational data only as long as required by their institution, study protocol, sponsor, or legal obligations. Rosella uses administrative, technical, and organizational measures designed to protect information, but no internet service can guarantee absolute security.
